Getting set up
About ten minutes, once. You are teaching the AI what your business does and how you talk, so the first reply it writes already sounds like you.
1. Create your account
Go to app.leadsapp.com and enter your email — we send a sign-in link, so there is no password to invent or forget. The free trial covers 25 leads a month and needs no card.
2. Describe the business
Your name, what you do, and where you are. If you have a website, paste it and we will read it to pre-fill most of this — check what it filled in, because everything here becomes a fact the AI is allowed to state.
3. List your services and what they cost
Be as specific as you are willing to be in an email. A price you write here is a price the AI can quote; anything you leave out, it will say it needs to check with you rather than guess.
4. Set your qualifying questions
The one or two things you always need to know before a call. We suggest a starting set based on your industry — edit them, because these are what separate a real inquiry from a browser.
5. Set the voice and signature
Tone, the name replies come from, and your sign-off block. Your postal address is required here: it goes in the email footer, which is what keeps your mail compliant and out of spam folders.
6. Add your booking link
Cal.com, Calendly, or any scheduling URL. The AI offers it to leads who are genuinely ready — not to everyone — so it stays meaningful.
7. Choose how it sends
Review-before-send is the default and we recommend starting there: the AI drafts, you approve. Auto-send is a switch you flip later, once you have watched it work.
Getting your leads in
Pick whichever matches how people already reach you. Most owners use one; you can use several at once, and every lead is labelled with where it came from.
The hosted form
The fastest option: we give you a link to a form that already contains your qualifying questions. Put it behind a 'Contact us' button anywhere — your site, your Google Business profile, an ad, an email signature.
The website embed
A snippet you paste into your own page so the form appears inline, styled to sit in your site. No plugin, no account connection.
Forward your inquiry inbox
You get a private LeadsApp address. Set a forwarding rule in Gmail or Outlook so anything landing in your enquiries inbox is copied there, and those become leads automatically — you keep using your normal inbox.
Webhook
If you already have a form (Squarespace, Webflow, WordPress, Typeform, anything with webhooks), point it at your LeadsApp endpoint and keep the form you have.
CSV import
For a backlog of inquiries you never got to. Import them and the AI works them like any other lead — they are still people who contacted you.
Running it day to day
In review mode the whole job is a queue you clear. Most owners spend a few minutes a day here.
The review queue
Each item shows what the lead wrote, the score with the reasoning behind it, and the drafted reply. Approve it, edit it first, or send it back with a note about what to do differently — that note teaches it.
Scores and tiers
0-100, tiered hot, warm or cold, with a plain sentence explaining why. The score is a triage aid, not a verdict — the reasoning is there so you can disagree with it.
Taking over a conversation
Reply manually at any point and the AI pauses on that lead automatically. Nothing goes out behind you once you are in the thread.
Follow-ups
Quiet leads get a nudge on day 1, 3 and 7, each written for where the conversation actually stopped. Any reply, booking or opt-out cancels the rest immediately.
Turning on auto-send
When you have approved enough drafts unchanged that you would rather not read them, switch auto-send on — globally, or per lead. You can switch it back the moment it writes something you would not have.
What it will never do
These are enforced in code, not in a policy document — they hold whether you are in review mode or auto-send.
It never emails strangers
It only ever replies to people who contacted you first. There is no cold-outreach mode and no way to make one.
It never invents facts about you
It states only what is in your business profile. Asked something you have not covered, it says it will check with you — and it never claims availability, because it cannot see your calendar.
It respects opt-outs and quiet hours
Unsubscribes are honoured instantly, suppression is checked before every send, quiet hours hold messages until morning, and every email carries the identification the law requires.
It escalates instead of guessing
You can write rules in plain English — always mention this, never say that, hand anything about X straight to me — and it follows them.
Quick answers
How long until the first lead is answered?
As soon as a lead source is connected. In review mode the draft is ready within about a minute of the inquiry arriving and waits for your approval; in auto-send it goes out immediately.
Do I have to change my email address?
No. Replies come from your own address, and forwarding leaves your normal inbox exactly as it is.
What happens if I go over my plan's lead limit?
Nothing is lost. Leads over the limit are still captured and stored — the AI waits for an upgrade before working them.
Can I edit what the AI wrote before it sends?
Yes, and in review mode that is the default flow: edit inline and approve, or send it back with a note so the next draft is closer.
