Cal.com

Any booking link works with LeadsApp. Cal.com is the one that closes the loop: when a lead books, we're told about it, so the lead marks itself Booked and stops getting chased.

What it does

Two halves. Going out, the AI puts your Cal.com link in front of leads who are actually ready — hot ones, and anyone who asks to talk — rather than pushing a calendar at every browser. Coming back, Cal.com tells LeadsApp the moment a booking is made, and the lead updates itself without you touching anything.
  • The booking link is offered on hot leads or when someone asks for a call — not stapled to every reply.
  • When a lead books, their status flips to Booked automatically.
  • The booking appears as a note on that lead's timeline, with the time, so the whole conversation reads in one place.
  • You get an email telling you a booking came in.
  • The day 1 / 3 / 7 follow-up sequence cancels itself for that lead — nobody gets a "just circling back" email after they've already booked with you.
  • Bookings are matched to your account by the organiser on the booking, checked against the Cal.com link saved in your profile. If a booker's email exists in more than one account and the organiser doesn't settle it, we do nothing rather than guess.

Setting it up

About 10 minutes
  1. Put your Cal.com link in LeadsApp

    Go to Settings → Business profile and paste your Cal.com link into Booking link — the same URL you'd send a client, for example cal.com/your-name/consult. This does two jobs: it's what the AI sends out, and it's how we recognise that an incoming booking is yours. Get it right and everything else follows.
  2. Ask us for your webhook details

    The booking-back half is signed, so it needs a signing secret paired to your account. Email support@leadsapp.com with the Cal.com link you just saved and we'll send back the secret to paste in step 4. Skip this and everything else still works — you'll just mark bookings as booked yourself, exactly like the Calendly setup.
  3. Add the webhook in Cal.com

    In Cal.com, open Settings → Developer → Webhooks and press New. Paste this as the subscriber URL:

  4. Choose the event and paste the secret

    Under event triggers, tick Booking Created — that's the only one we act on, and everything else is politely ignored. Paste the secret from step 2 into the Secret field, then save.
  5. Book a test slot

    Book your own link using an email address that already exists on a lead in your pipeline. Within a few seconds that lead should flip to Booked, a note should appear on its timeline with the time, and you should get the booking email. If nothing happens, the usual cause is that the booking link in Settings → Business profile is a different Cal.com account from the one the booking came through.

What it does not do

Better to know now than to find out in week two.

  • It doesn't read your availability. LeadsApp never claims a specific time is free — it sends your link and lets Cal.com own the calendar.
  • It doesn't create, move or cancel bookings. Only Cal.com does that; we listen, we don't write.
  • It only listens for a booking being created. A later reschedule or cancellation in Cal.com won't change the lead's status back — you'd update that yourself.
  • There's no two-way calendar sync, no availability display inside LeadsApp, and no meeting reminders from us.
  • Booking links are offered on hot leads and on request. It won't push your calendar at every enquiry, and that's deliberate.
  • The booking-back webhook needs the one-time setup above. Until it's in place the outgoing link still works perfectly — you'll just mark the lead as booked by hand.

Not on Cal.com?

Any booking URL works — Calendly, Acuity, HubSpot Meetings, SavvyCal, a page on your own site. The AI will send it to the right leads at the right moment exactly the same way.
