forwarding
Most inquiries don't come through a form — they land in your inbox. Forward that inbox to your private LeadsApp address and every new one becomes a scored lead with a reply already drafted.
What it does
Your account gets a private intake address — something like your-company-leads@… — and you set your existing inbox to forward new inquiries to it. Anything that arrives becomes a lead: read, scored 0-100, with the first reply written in your voice and held in your review queue. When the lead writes back, that reply threads onto the same conversation instead of starting a new one.
- Works with any mail provider that can forward — Gmail, Outlook, iCloud, your host's webmail, anything.
- We never ask for your mailbox password and never connect to your account. You forward to us; that's the whole connection.
- Replies from the lead are matched back to the right conversation automatically, using the reply address and the mail headers.
- Out-of-office and other auto-responders are recognised and dropped, so they don't create junk leads or trigger a reply.
- If someone replies with just "stop" or "unsubscribe", they're suppressed and unsubscribed immediately — enforced in code, not left to the AI.
- You can forward selectively. Most owners set a filter so only genuine inquiries go across, not newsletters and receipts.
Setting it up

In the app, go to Settings → Lead sources and find Forward inbound leads by email. In Gmail: Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address, then paste it in. In Outlook.com: Settings → Email → Forwarding and IMAP → Enable forwarding, paste the address, and Save — tick Keep a copy of forwarded messages so the original still lands in your own inbox. Most other providers have the same option under Forwarding or Rules.Confirm the address, then switch forwarding on
Gmail won't forward anywhere until the address proves it wants the mail, so it sends a verification link there first. That email lands in your LeadsApp pipeline — open it and click the link inside. Then go back to Gmail's Forwarding and POP/IMAP tab and select Forward a copy of incoming mail to, because verifying the address alone doesn't turn forwarding on. This trips people up more than any other step. Other providers do something similar — a link to click, or a code to paste back.Forward only the inquiries — this is the important bit
Don't forward everything. Create a filter so only new enquiries go across: in Gmail, Settings → Filters → Create a new filter with something like to:hello@yourfirm.com and tick Forward it to. Forwarding your whole inbox turns newsletters and receipts into “leads” and burns your monthly allowance on noise.Send a test from a different address
Email your normal inquiry address from a personal account, as though you were a customer with a real question. Within a minute it should show up as a scored lead with a drafted reply. Nothing sends until you approve it — review mode is the default on every new account.
What it does not do
Better to know now than to find out in week two.
- It doesn't read your mailbox. There's no Gmail or Outlook sign-in, no IMAP connection, no access to your existing mail. Only what you forward reaches us, and only from the moment you switch forwarding on.
- It doesn't reach back into your history. Emails already sitting in your inbox aren't imported — forwarding only affects new mail arriving from now on.
- It doesn't send from your mail server. Replies go out through LeadsApp using your address and signature; your own outbox won't show a copy.
- It won't sort your inbox for you. If you forward everything, everything becomes a lead — set a filter so only genuine inquiries come across.
- It doesn't handle phone calls, voicemail transcripts or SMS. Email and web forms only.
- Attachments aren't the point of the product — the AI works from the text of the message.
