CSV
import
Got a backlog of enquiries sitting in a spreadsheet? Bring them in, and they go through exactly the same pipeline as a fresh form fill — read, scored, and drafted for your approval.
What it does
- Up to 500 rows per import. Run it again for more.
- Column headers are matched for you — "Full Name", "Email Address", "Phone Number", "Organization", "Notes" and similar all land in the right place.
- Rows with neither an email nor a phone are skipped, and you're told how many. There'd be no way to reach them.
- A note, message or inquiry column is read by the AI as what that person actually asked, so the reply answers them rather than starting cold.
- Imports are paced. A big batch works through steadily instead of firing every reply at once.
- Review mode still applies. Every draft from an import waits for your approval like any other lead.
Setting it up
About 5 minutesGet your spreadsheet into the right shape
One row per person, with a header row on top. Every row needs at least an email or a phone number. Nothing else is required, but a message column makes the AI's first reply far better — it can answer what they actually asked instead of guessing.leads.csvname,email,phone,company,message Dana Whitfield,dana@example.com,(555) 123-4567,Whitfield Design,Asked about a commercial lease review Marcus Bell,marcus@example.com,,,Wants a quote for a kitchen refit in MarchSave it as CSV
In Excel: File → Save As and pick CSV (Comma delimited). In Google Sheets: File → Download → Comma-separated values. In Numbers: File → Export To → CSV. Don't upload an .xlsx or .numbers file — it has to be CSV.Don't rename your columns
LeadsApp already recognises the usual names, so leave them alone. Name, Full Name and Contact Name all work; so do Email, Email Address and E-mail; Phone, Phone Number and Mobile; Company, Organization and Business; and Message, Notes, Inquiry or Comments. Anything else in the file is ignored rather than causing an error.Upload it
In the app, go to Settings → Lead sources, find Import from a CSV, and choose your file. You'll get a count back straight away: how many leads were created and how many rows were skipped.Work the review queue
Open your review queue and read the first few drafts before approving anything. An import is the one moment worth being slow — it's the easiest way to catch a stale row or a person you'd rather not re-contact, while nothing has gone out yet.
Import people who contacted you — not a bought list
This exists so a backlog of real enquiries doesn't stay stranded in a spreadsheet. It is not a cold-outreach tool. LeadsApp only ever writes to people who reached out to you first, we don't sell lists, and uploading a purchased one breaks our acceptable use policy. It's also the fastest way to get your sending reputation wrecked, which hurts the replies to your genuine leads. If a row is more than a few months old, it's usually kinder — and more effective — to leave it out.
What it does not do
Better to know now than to find out in week two.
- It's not for cold lists. Import people who contacted you; buying a list and uploading it is against our acceptable use policy.
- It doesn't merge with leads you already have. Importing someone who's already in your pipeline creates a second lead — check your file first.
- It doesn't map custom columns. Anything outside the recognised headers is ignored, not stored as a custom field.
- It only reads CSV. Excel, Numbers and Google Sheets files need exporting to CSV first.
- 500 rows is the ceiling per upload, and it's a hard limit — split a bigger file and run it more than once.
- Rows with no email and no phone are skipped entirely. There's nothing we could do with them.
- It doesn't verify the addresses in your file before importing. (The separate free contact toolkit can verify an email address if you need that.)
